Two minutes of preparation saves a second call. Find the suburb and the building. Look for the model name on the front or side. Read the display message out word for word if you can. Work out whether everyone has stopped printing or only a few people, and think back to anything that changed: an office move, a new server, a password policy, Friday night's storm.

How the trouble began matters too. Faint streaks that worsen each week point somewhere other than a machine that quit mid job with a code on the panel. Nobody ever says anything changed, and then they remember the cleaner moved the printer.

The callback is a proper chat. We ask what the technician would ask at the door, say what that fault usually turns out to be and what the repair involves. Sometimes the honest answer is that the machine is near the end and a repair will not last, and we say that.
